The Legal Receptionist serves as a first point of contact for clients, visitors, and colleagues. This position will play a crucial role in providing exceptional customer service and ensuring smooth day-to-day operations at the front desk.
 
Key Responsibilities:
  • Front Desk Management: Greet clients, visitors, and employees in a courteous and professional manner. Direct them to the appropriate conference rooms or office areas.
  • Phone Handling: Answer incoming calls, screen and direct calls to appropriate departments or individuals. Take messages and ensure timely follow-up.
  • Appointment Scheduling: Assist with scheduling appointments, meetings, and conference rooms. Ensure that the calendar is up to date and all appointments are properly documented.
  • Document Preparation and Filing: Assist with basic document preparation, scanning, and filing. Maintain organized physical and digital filing systems.
  • Client Services: Maintain a high level of client interaction, ensuring all clients are attended to promptly and professionally. Offer refreshments or direct clients to waiting areas as needed.
  • Administrative Support: Provide general administrative support to attorneys and staff, including assisting with document preparation, photocopying, and data entry tasks.
  • Confidentiality: Handle sensitive client information with discretion and adhere to strict confidentiality guidelines.
 
Required Skills & Qualifications:
  • High school diploma or equivalent required. Associate’s degree or higher preferred.
  • Previous receptionist or administrative experience, preferably in a legal or professional services environment.
  • Must be comfortable working in a fast-paced environment with a smaller team
  • Strong communication skills, both written and verbal.
  • Excellent organizational and multitasking abilities.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Professional appearance and demeanor.
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and ability to work independently.
  • Positive attitude and ability to work collaboratively within a team environment.
