This role will primarily focus on client service and administration in the Greenville office for clients of both our family office and advisory divisions.  This role will focus on responding to client service needs, handling distributions, money movement, account management, and asset reconciliation.

Primary Responsibilities
Client Services                                
  • Serve as a contact for various clients and vendors working with clients.  Receive client requests and work to solve issues as they arise.  Prepare written communication in the form of emails, letters and memos to inform clients of payments due or pending distributions.
  • Participate in client meetings with Trust Officer/Investment Advisors as needed in order to fully understand operational and administrative needs related to the relationship.

Distributions and Money Movement
  • Assist in the preparation of all distributions from client accounts with approval as needed by appropriate trust officer.  Includes receiving requests and invoices, processing checks or transfers, preparing authorization forms, and maintaining proper documentation.
  • Transfer money between accounts and family members. 
  • Coordinate with tax professionals on the payment of income taxes
Account Management                 
  • Work with Trust Officer / Investment Advisor and VP of Operations in compiling all documentation necessary to open new accounts.
  • Open new brokerage accounts and set-up on trust accounting system and/or portfolio management system.  Process transfers, maintain tax lot information and verify for accuracy.
  • Attend initial review meeting with VP of Operations, Trust Officer / Investment Advisor to determine administration plan.
  • Maintain documentation on non-financial assets such as real estate and insurance policies.
  • Compile necessary tax information for trusts(s).  Submit various tax forms and payments. 
  • Assist Trust Officers / Investment Advisors with periodic account reviews and prepare documentation for compliance purposes.
  • Assist in administration of estates including preparation of appropriate Probate Court documents and schedules.
Asset Reconciliation
  • Update client balance sheets and financial statements to provide timely and relevant financial data.
  • Ensure non-financial assets are accurately reflected in trust accounting and portfolio management systems.
  • Maintain records of gifting for estate planning.
  • Assist in reconciliation of trust accounting system with financial accounts and portfolio management system


Qualifications & Requirements:
  • Three years of experience in banking, accounting, trust/investment operations or similar professions or associate’s degree in accounting, business, finance, or economics.
  • Excellent people skills to work with clientele from diverse backgrounds
  • Strong organizational skills
  • Capacity to work under pressure with multiple deadlines
  • Capable of coordinating and prioritizing various tasks without specific direction
  • Willingness and aptitude for learning new skills as necessary
  • Proven writing, editing, and mathematical skills
  • Familiarity with debits and credits, checking and depository assets, and essential traits of securities investment-related transactions
