Our client in Franklin, TN is seeking to bring on an Executive Assistant/Client Services Associate to join their high performing team. The ideal individual will be a proactive, detail-oriented, and strong communicator wanting to join one of the strongest performing and best corporate culture’s in all of Nashville!

Responsibilities:
  • Communicate daily with both prospective and existing clients via phone, email, and in-person meetings, addressing inquiries and maintaining professional relationships.
  • Update and manage client data in the CRM (Salesforce), ensuring accuracy and compliance with firm standards and industry regulations.
  • Process client documentation, transactions, and directives, providing ongoing updates to clients.
  • Educate clients on available account services, features, and new technology.
  • Initiate proactive outreach to clients and advisors for time-sensitive matters.
  • Take ownership of client inquiries, collaborating with internal teams to ensure timely and effective service delivery.
  • Coordinate and organize meetings, appointments, conference calls, and travel arrangements for the individual, ensuring seamless execution and professional organization.
  • Prepare and organize meeting materials (forms, reports, presentations) and ensure follow-up on action items post-meeting.
  • Manage both domestic and international travel logistics for the individual, ensuring smooth planning.
  • Manage incoming phone calls, direct inquiries, assist with scheduling, and perform general office tasks (e.g., handling mail and packages).
  • Strategically manage the individual’s inbox, ensuring inquiries are appropriately directed and handled.
  • Maintain accurate and organized records, files, and databases to support efficient operations.
  • Generate and review reports using CRM software, including performance summaries for client meetings.
  • Process financial transactions and oversee account activities (e.g., new accounts, transfers, periodic distributions, and cash management).
  • Assist with documentation and information gathering for new accounts, transfers, and other related tasks.
  • Oversee the individual’s expenses and administrative duties using tools like Expensify.
  • Assist with marketing efforts, including seminar coordination, compliance approvals, and the creation of client communication materials.
Qualifications:
  • Previous professional experience in an administrative, executive support or client services position.
  • Proven work ethic from previous experience
  • Technological savvy
  • Strong communication skills both written and verbal
  • Detail-oriented and analytical mindset
