Administrative Assistant

About the Role

Our client is looking for a highly organized and proactive Administrative Assistant to provide essential support in managing daily operations, coordinating client communications, and assisting with marketing initiatives. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment, excels in multitasking, and ensures smooth administrative processes while contributing to strategic marketing efforts.

 


Key Responsibilities

Administrative Support & Client Coordination

  • Act as the primary point of contact for clients, ensuring clear communication and timely follow-ups.

  • Schedule and coordinate meetings, deadlines, and project timelines for seamless workflow.

  • Maintain organized documentation, reports, and marketing materials to keep projects on track.

  • Gather and compile client feedback to improve messaging and align with marketing objectives.

Marketing & Content Assistance

  • Assist in drafting marketing materials, email campaigns, and social media content.

  • Coordinate marketing automation tasks, including email sequences and donor/client outreach.

  • Apply StoryBrand principles and the EPIC Communications Framework to enhance messaging clarity.

  • Design Canva graphics as needed.

Social Media & Digital Engagement

  • Manage social media scheduling and engagement across platforms.

  • Track and analyze social media performance metrics to optimize strategy.

  • Ensure brand consistency through effective content management.

Email & CRM Management

  • Maintain CRM systems with accurate data tracking for clients, donors, and marketing campaigns.

  • Implement email marketing automation to enhance engagement and retention.

  • Develop follow-up strategies to strengthen relationships with supporters and clients.

 

Ideal Candidate Qualifications

  • 2+ years of experience in administration, marketing, or content coordination (nonprofit experience a plus).

  • Strong organizational skills with attention to detail and the ability to manage multiple projects.

  • Excellent written and verbal communication skills.

  • Familiarity with Google Drive, Microsoft, email marketing tools/CRM platforms.

  • Experience with social media management tools (LinkedIn, Facebook, Instagram.)

  • Basic knowledge of SEO, website optimization, and AI marketing tools (preferred but not required).
