Key Responsibilities:
- Front Desk Management: Greet clients, visitors, and employees in a courteous and professional manner. Direct them to the appropriate conference rooms or office areas.
- Phone Handling: Answer incoming calls, screen and direct calls to appropriate departments or individuals. Take messages and ensure timely follow-up.
- Appointment Scheduling: Assist with scheduling appointments, meetings, and conference rooms. Ensure that the calendar is up to date and all appointments are properly documented.
- Document Preparation and Filing: Assist with basic document preparation, scanning, and filing. Maintain organized physical and digital filing systems.
- Client Services: Maintain a high level of client interaction, ensuring all clients are attended to promptly and professionally. Offer refreshments or direct clients to waiting areas as needed.
- Administrative Support: Provide general administrative support to attorneys and staff, including assisting with document preparation, photocopying, and data entry tasks.
- Confidentiality: Handle sensitive client information with discretion and adhere to strict confidentiality guidelines.
Required Skills & Qualifications:
- High school diploma or equivalent required. Associate’s degree or higher preferred.
- Previous receptionist or administrative experience, preferably in a legal or professional services environment.
- Must be comfortable working in a fast-paced environment with a smaller team
- Strong communication skills, both written and verbal.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office Suite (Word, Excel, Outlook).
- Professional appearance and demeanor.
- Ability to handle confidential information with discretion.
- Strong attention to detail and ability to work independently.
- Positive attitude and ability to work collaboratively within a team environment.
